RubinBrown has revenue of approximately $240 million with 1000 team members across locations in Chicago Denver Kansas City Las Vegas Nashville and St. Louis.OverviewThe Receptionist is the first point of contact in the office suite setting the tone for Totally Satisfied Clients and Guests. This position serves as a key administrative support for the office and administrative operations.Major ResponsibilitiesGreet all guests to the firm (clients vendors and visitors) as they arrive at the officeCreate a warm friendly and sincere environmentGreet guests by nameOffer guests newspapersOffer guests refreshmentsValidate parking ticketsConverse with guests waiting in the lobby for a team memberMaintain office appearanceOrganize newspapers magazines and other periodicalsLoad and unload dishwasher dailyKeep conference rooms front desk area and reception kitchenette clean and orderlyMonitor and restock catering room supplies (drinks paper towels etc.)Notify office administrative manager of any needed facility repairs or light bulb replacementsMonitor use and availability of conference roomsReserve rooms when requestedCheck equipment in conference rooms (phones projectors computers etc.) daily and report to IT any damages.Support with setting up Conference Room tablets as neededConference room table and chair coordination as neededFood ordering/setup/cleanup for various meetings & trainingsSchedule food delivery prior to meeting set up for the meeting and clean up afterwards. Operate SwitchboardAnswer and transfer incoming callsAssist clients paying over the phoneDetermine the nature of each callScreen phone calls for team membersTransfer calls into voicemailMail OperationsTrack incoming packages for team members and outgoing packages for clientsAssist with incoming mail outgoing packages and couriers as neededAssist the administrative team (office services executive assistants etc.) or any other team member with administrative tasks such as:Assist set up and preparation for meetings and seminarsProduce documents in Microsoft Word Excel and PowerPoint using designed templatesAssist with distribution of invoices and statements to clientsAssist with review of documents when requestedProofread documents when requestedAll other duties as assignedPreferred Experience/Background/SkillsHigh school diplomaTwo to three years of office administrative support experience requiredOne year of receptionist experience preferredSuperior interpersonal skills professional presence and strong client service background preferredMust be able to handle multiple projects simultaneously in a fast-paced environmentAttention to detail and qualityAbility to multi-taskProficiency in Microsoft Office programs (Word Excel PowerPoint required)Ability to effectively utilize technology and a commitment to learn in the technology environmentExcellent verbal and written communication skillsStrict adherence to professional ethicsWorking ConditionsThe typical office hours are 8:00 a.m. to 5:00 p.m.Ability to work extra hours February through AprilTravel for this position will be minimalAbility to sit for long periods of timeAbility to move throughout officeAbility to lift carry push pull up to 10 poundsAbility to speak English to communicate with clients team members etc...One FirmTo foster a highly respected inclusive culture that helps foster and promote an environment that is diverse and equitable for all team members and the firm to achieve growth and deepened expertise.
