Job DescriptionJob DescriptionJob PreviewThe Receptionist ensures personal contact professionally to all patients seen at Hopedale Physician's Office and/or Satellite offices. Provides efficient and competent patient scheduling forall physicians practicing at this office utilizing the current computer system (not present at all satellite locations). Assist at any office as needed, including Saturday. Responsibilities: Unlock office and prepare for patients. Answer incoming phone calls, assist patients with scheduling needs or transferring to the appropriate department/person requested. Take concise, accurate messages for nursing staff and physicians.Greet patients; gather and update all necessary information upon arrival. Update schedules in the Medical Manager Appointment Scheduler or scheduling book.Schedule appointments according to individual providers’ schedules and the type of service requested. Maintain Medical Arts policies and procedures; update as needed.Refer patients in need of payment arrangements or financial assistance to the physician billing office. Schedule follow-up appointments as directed and provide patients with written appointment reminder cards.Collect necessary payment at time of service.Make reminder phone calls for upcoming appointments.Review each super bill after a patient has been seen by the physician or nurse. Verify a diagnosis is indicated by the physician or the nurse and code it appropriately. Apply proper CPT codes for services rendered. Contact the Physician Billing Office for assistance when needed.Maintain schedules for consulting physicians, notifying their home office as per their individual preference. Complete lab requisitions and outpatient services requisitions and direct patients to the outpatient admitting office.Complete end-of-day procedures.Assist with the ordering and restocking of office supplies as needed.Perform other related work as required or requested.High school diploma or the equivalent is required.Excellent customer service skills and interpersonal skills, as well as compassion and caring, are required.Proficiency in MS Office is required.Ability to multitask and remain calm under pressure is required.Ability and willingness to work at Medical Arts and all satellite offices (Atlanta, Delavan, Mackinaw, Manito, and Tremont) is required.Previous medical office experience is preferred.ICD-9 and medical terminology knowledge is strongly preferred.
