Position summary:The Receptionist position is responsible for performing clerical tasks to support daily operations. Duties include answering and transferring phone calls sorting and delivering mail greeting visitors and providing administrative support to the practice. The Receptionist reports to and is employed by Clearwater Financial Group. This position is an in-office role working Monday Friday 9 a.m. to 5 p.m. in the Billings office. Compensation is $ annually dependent upon experience. No medical or dental benefits provided.Job DescriptionPosition Roles/Responsibilities/AccountabilitiesSupport the lead advisors with variety of functions and tasksInterface with clients to coordinate meetings mailings and other communicationsGreet clients and visitors when they arriveAnswer all incoming calls and disperse them and any messages appropriatelyMaintain client correspondence including compliance and marketing mailingsSchedule all meetings and provide driving directionsMaintain the Lead Advisors calendarUpdate CRM systems as neededMaintain internal mailing lists birthday card lists and monthly calling listsMaintain physical or electronic filesSend and prepare Docusign documents as requested by advisorsPosition QualificationsPrevious experience working as a receptionist in a professional service firm desiredStrong technical computer aptitude and knowledge of business tools (e.g. Microsoft Word Excel PowerPoint) or ability to learnAbility to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptionsCompetenciesPlanning/OrganizingClient FocusCommunicationInterpersonal SkillsTeamwork and CollaborationAdaptability/FlexibilityExternal/Internal DependenciesMust be able to work with all roles of the team organization in work with external clientsMust be able to cultivate and maintain relationships with outside organizationsCompliance and Regulatory As part of Clearwater Financial Groups recruiting/hiring/contracting process a verification of a candidates background will be made to complete the hiring/contracting addition fingerprints will be taken for submission to the Federal Bureau of Investigation for review against nationwide fingerprint records.
