For more information go to: of JobThe Work Unit:The Administrative Services Program exists to provide Division wide support to APCD. The Records & Information Unit (RIU) is responsible for the Divisions record management ensuring that records and information handling follows the retention schedules for each program within the Division to provide Colorado Open Record Act (CORA) responses are timely and accurate and that all records retained by the division are properly managed.What you will be doingThe primary function of this position is the day-to-day activities of the RIU. This position will perform records management duties in organizing documenting and maintaining active and inactive Division records materials and data. Duties can include assisting processing and responding to records/CORA requests and litigation holds. Tasks will entail data entry and management. The position will adhere to the established retention and disposal schedules Department policies RIU processes and procedures and applicable statutes and regulations.Job Duties:Records & Data Operations and SupportWith supervision scan documents and use appropriate file naming conventions for uploading to the Divisions records database. Ensure correct metadata is entered for accurate indexing of materials.With guidance configure pre-existing electronic documents for uploading into the records database. Ensure that all documents and metadata meet standards to reduce errors as determined by internal processes.As a part of training inventory retrieve and send documents to off-site storage. Accurately catalog and account for materials.In a training environment assist with the digitizing of facility files.Lift and move boxes weighing 10 to 40 pounds sit on floors reach above shoulders and stand for periods of time.With guidance and as needed work on various projects to manage Division hard copy and electronic materialsWith training coordinate with other staff to upload and track permit files into the records database.Under direct supervision perform data cleanup and other data maintenance projects.Given guidance perform appropriate data entry in permit tracking systemRecords Request ProcessingWith mentoring and guidance responds to simple records requests complying with applicable statute policy and proceduresWhile training documents incoming requests and responses and maintains trackingWith guidance provides internal and external customer support in responding to records and CORA requestsOther Duties as AssignedAttends meetings serves on task forces or teams completes projects and performs other duties as assigned by the supervisor.Minimum Qualifications Substitutions Conditions of Employment & Appeal RightsResidency Requirement:This posting is only open to residents of the State of Colorado at the time of submitting your application.H4M1IXTECHNICIAN IMINIMUM QUALIFICATIONS:An applicant may meet the minimum qualifications for this job in one of two ways: They may qualify through their work experience alone or through a combination of education and work experience.Experience Only:One (1) year of experience in data management library science records management or related workOREducation and Experience:A combination of related education and/or relevant experience in data management library science records management or related work equal to one (1) year.PREFERRED QUALIFICATIONSIn addition to the minimum requirements the successful candidate in this position will have the following experience: Working with electronic content management databases. Microsoft Office specifically working with Word and Excel files.
