Geoquest USA Inc. (formerly The Reinforced Earth Company) is recognized as the inventor and market leader of the MSE (Mechanically Stabilized Earth) retaining wall industry. The company provides the design and supply of materials of proprietary retaining wall systems and earth related technologies to contractors and owners for use in civil engineering. Our company works as a sub-contractor/material supplier on DOT and privately owned projects. We perform all duties associated with our jobs from sales marketing civil engineering/design supply and construction support.The Regional Administrative Assistant reports to the Division Manager and is responsible for all administrative support functions for the Regional Office as well as the day-to-day office operations along with all the tasks that are associated with those functions.Responsibilities include:General Office: Answer telephoneType letters and send emails as neededMaintain digital and hard copies of general files as well as project specific files (including Sales Contract Operations and Design files)Compile and deliver completed project data to Corporate Office for archivingProcess mail including shipping and receiving of goodsMaintain office suppliesPrepare payables for submission to Corporate OfficeManage interior design of officeAct as company interface with Building Management TeamManage Office Access Security SystemOrganize and support various office social activities and functionsOther administrative duties as neededAssist Regional Manager and/or Division Manager: Assist in preparation of any required reports and data queriesSearch various resources for upcoming projectsAcquire Contract Drawings and post to ServerTrack Addendums and Q&A for projects biddingScreen plan holders data and develop Bidders listPrepare cost estimate formPrepare initial quotation templateProcess signed contracts with Corporate OfficeIncluding preparation of contract budgetsAssist with product inquiriesAssist with preparation of regional tradeshowsMaintain historical and current project and client databaseOther administrative duties as neededAssist Project Managers with the following as requested:Manage external submittal process of Shop Drawings received from Eng. Dept.Download take-offs for approved Shop Drawings and maintain Take-Off FolderProvide any needed support for modifications to the Job Budget and Take-Off processOther administrative duties as neededEducation/Skill/Experience:1-3 years of administrative experienceProficient in Word Excel and AccessKnowledge of Powerpoint Salesforce and Oracle a plusDetail orientedStrong organizational skillsAble to work in a fast paced environment with the ability to multi task prioritize and meet deadlinesWork Environment / Physical Demands:The responsibilities will be carried out in a traditional office environment under traditional office conditions.
