Safety and Training Coordinator

Safety & Training Coordinator Position Summary The Safety & Training Coordinator supports the company's safety and compliance programs through administrative coordination, data management, training delivery, and documentation control. This role plays a key part in maintaining training records, ensuring regulatory compliance, supporting incident investigations, and conducting new hire orientation and safety presentations.

The ideal candidate is highly organized, detail-oriented, comfortable with data entry systems, and confident presenting in front of large groups. Key Responsibilities Training & Orientation
  • Conduct new hire safety orientation and onboarding sessions.
  • Present safety training programs to employees in classroom and group settings.
  • Prepare training materials and assist with class setup and coordination.
  • Schedule and track required online training programs.
  • Maintain accurate training records and certifications.
  • Ensure shop and mobile equipment training documentation is completed and uploaded properly.
  • Assist in development and revision of safety procedures and site-specific safety plans.
Data Entry & Documentation Management
  • Scan, upload, and maintain training records in company systems (e.g., Quickbase, ISN, Avetta).
  • Track and schedule client-required online training.
  • Upload Certificates of Insurance (COIs), policies, and client-requested documentation.
  • Track and calibrate air monitors and enter data into designated systems.
  • Track Job Safety Analysis (JSA) completions and equipment inspections daily.
  • Maintain electronic and physical safety files.
  • Print and assemble foreman binders and training packets as needed.
Reporting & Compliance Support
  • Conduct and document monthly fire extinguisher inspections.
  • Assist with incident investigations, including documentation and report preparation.
  • Ensure hazardous waste is properly labeled and coordinate disposal.
  • Support safety reporting and documentation efforts.
  • Assist with compliance tracking across multiple buildings or job sites.
Inventory & Equipment Support
  • Monitor, stock, and issue Personal Protective Equipment (PPE).
  • Ensure documentation for equipment training (40+ pieces of equipment) is properly completed and recorded.
  • Assist with mobile and shop equipment training documentation.
Minimum Requirements
  • High school diploma or equivalent required.
  • 1-3 years of experience in an administrative, safety, training, or compliance-related role preferred.
  • Bilingual (English/Spanish)
  • Basic computer skills required.
  • Strong data entry and document management skills.
  • Experience using databases or tracking systems (Quickbase, ISN, Avetta, or similar platforms preferred).
  • Experience training and presenting in front of large groups.
  • Strong written and verbal communication skills.
  • Highly organized with strong attention to detail.
  • Ability to manage multiple tasks and deadlines.
  • Ability to maintain confidentiality of sensitive information.
Preferred Qualifications
  • Experience in construction, industrial, or safety-related environments.
  • Knowledge of OSHA documentation or compliance processes.
  • Familiarity with safety training coordination.
  • Experience assisting with incident investigations.
Work Environment Combination of office and shop/field environment.
May require standing for extended periods during training sessions.
Frequent interaction with employees at all levels of the organization.
