JOB TITLE: School Accountant & Budget Specialist IMMEDIATE SUPERVISOR: ControllerFTE: 1 (8 hours)POSITION START DATE: As soon as possible after hireGENERAL DUTIES SUMMARY: The School Accountant and Budget Specialist assists the CFO and Controller in developing and monitoring the districts addition the School Accountant and Budget Specialist supports schools and departments in managing various budgets and training. Duties include technical gathering of budget information inputting information into systems preparing reports bookkeeper support and compiling additional information to inform school and department administration and the public. Additional duties include managing Associated Student Body funds other and PCard limits.ESSENTIAL REQUIREMENTS & RESPONSIBILITIESFinancial AnalysisAssist Controller and Chief Financial Officer with budget analysisGather data related to finance demographics and any other useful metrics for budget comparisons and budget document enhancementsReview and identify changes in monthly salary and benefit reportsBudgetDevelop information for budget document based on GFOA and ASBO checklistsCollect budget requests from schools and departments for input into or within the accounting softwareManage budget database when budget is developedServe as District budget support for school bookkeepers and District staffAssist with preparation of State categorical budget reports to ODE and internallyDevelop budget related information for community meetings and the administrationTrain and support bookkeepers regarding budgetsAccounting & Special ProjectsManage PCard issuance and track balances on cards. Review reports for Merchant Category Codes quarterlyInputs and reviews journal entries for approval related to ASB due to/due from reconciling activities; includes entry of Purchase Requisitions for transactions due to schools and vice versaMonitors Associated Student Body Funds (ASB) by reviewing bank statements accounting reports andassists schools in preparing for the annual review of the funds by the outside auditorManage individual licensed PEF accounts and maintain balance informationServes as District support for school bookkeepers and other school staffTroubleshoot bookkeeping and accounting errorsMaintains Donation accounts and Club funded accounts for each school/departmentWorks with Foundation to set up budgets for grants awarded to each school annuallyAssists with external audit for both ASBSupports secondary schools in preparation for annual auditAbility to compile reports as needed for the schools and Business OfficeESSENTIAL EDUCATION FUNCTIONS AND CAPABILITIESPrepare complex spreadsheets; analyze and calculate financial dataWrite clear budget reports with accounting softwareMaster District and professional software programsPrepare statistical data and compile necessary reportsAssist the Controller and Chief Financial Officer with special financial projectsCross train within departments to support District needsComplete training and/or classes that will enhance and modernize Department and District needsWrite budget and accounting reportsDraft clear and concise business correspondence and procedure manualsUnderstand fund accountingCommunicate and respond to questions from administrators support staff vendors and the general publicAttend training and professional development as requested by supervisorInterpret a variety of instructions furnished in written oral diagram or schedule form and clarify if neededUse Districts prescribed applications to effectively manage documentsExercise sound judgment when making decisions based on Department and District guidelinesPrioritize and implement multiple tasks under constrictive timelines independent of specific support or supervisionRemain flexible when normal duties and schedules are interrupted or changed to meet the needs of the Department or DistrictRead comprehend and employ documents including but not limited to computer software manuals job specific technical manuals District Policies and Procedures and other professional documentsWork as self-starter and problem solveThis job description is not intended to be and should not be construed as an all-inclusive list of responsibility skill or working conditions associated with the position.
