Job DescriptionJob DescriptionJob Title: Commercial HVAC Service Coordinator Job Location: Richmond, VAFLSA Status: Exempt This is a FULL-TIME position Overview: The HVAC Service Coordinator for service agreement & equipment startups is a critical role responsible for ensuring these two critical areas run smoothly and support multiple service areas and sales offices. Essential Duties and Responsibilities: Service Agreements: Maintain database of active service agreement customers, including accurate entry of all new contracts, removing cancelled or non-renewed customers, and scheduling accuracy. Schedule monthly service agreement (preventative maintenance – PM) visits and adjust scheduling as needed, working closely with fellow coordinators to balance service priorities and coverage. Ensure accurate and timely submission of maintenance reports and part requests from all service technicians. Handle customer follow-up by sending maintenance reports and description of work completed. Manage high-volume and complex contract customers requiring specialized coordination. Equipment Startups: Manage equipment startup projects from initial service turnover through job closeout. Prepare and distribute required pre-startup information and forms to customers. Verify accuracy of pre-startup paperwork submitted by customer job readiness & warranty. Schedule and monitor job progress, keeping customers updated throughout startup process. Collaborate with sales engineers to address startup issues and determine cost responsibility. Coordinate with the service coordination team to manage last-minute startups and scheduling changes as priorities shift.
