JOB DESCRIPTION

Vehicle Maintenance Coordinator/ Supply Chain Coordinator

We are seeking a dedicated Vehicle Maintenance Coordinator to handle maintenance and repair requests from customer drivers and vendors. The role involves issuing purchase orders, verifying repair needs, and maintaining purchase order records. Your expertise will ensure the continued safe operation of vehicles and enhance client satisfaction through efficient service delivery.

Responsibilities

  • Respond to calls from customer drivers and vendors regarding vehicle maintenance and repair requests.
  • Issue purchase orders for transactions exceeding customer card limits.
  • Verify that authorized repairs are necessary for continued safe operation and are priced according to recognized industry guides.
  • Accurately enter and maintain purchase order records for documentation and historical tracking.
  • Process and verify maintenance and repair invoices.
  • Collaborate with internal teams to support client satisfaction and efficient service delivery.
  • Maintain and strengthen vendor relationships; escalate and resolve service issues as needed.
  • Assist with special projects and provide technical guidance to customer-facing teams.
  • Follow up on supplier billing inquiries to ensure timely resolution.

Essential Skills

  • Strong mechanical knowledge and understanding of automotive maintenance and repair.
  • Excellent communication skills, both written and verbal.
  • Strong administrative, organizational, and problem-solving abilities.
  • Excellent time management skills and attention to detail.
  • Proficient with Microsoft Office Suite.

Additional Skills & Qualifications

  • Spanish bilingual skills are a strong plus but not a necessity.
  • Familiarity with automotive service databases (Chilton, Mitchell, AllData, etc.) preferred.
  • Customer-focused with a professional, service-oriented attitude.
  • Experience in a call center or fleet maintenance environment is a plus.
  • Valid driver's license and eligibility to work in the United States.

Work Environment

The position requires working onsite in West Des Moines, Monday through Friday during day hours. The environment is professional, focusing on collaboration and client satisfaction. Dress code aligns with a standard business casual atmosphere.

Job Type & Location

This is a Permanent position based out of West Des Moines, IA.

Pay and Benefits

The pay range for this position is $75000.00 - $80000.00/yr.

Workplace Type

This is a fully onsite position in West Des Moines, IA.
