Position Summary

The Warranty Administrator plays a critical role in ensuring accurate and timely processing of warranty claims while maintaining compliance with manufacturer guidelines. This role partners closely with service, parts, and accounting teams to ensure efficiency, accuracy, and customer satisfaction.

Key Responsibilities

  • Process, submit, and track manufacturer warranty claims in a timely and accurate manner
  • Review repair orders for completeness, accuracy, and compliance with warranty requirements
  • Assign proper labor operation codes, failure codes, and required administrative data
  • Communicate with Service Advisors to define warranty claim scope and ensure proper documentation
  • Coordinate with manufacturers and vendors regarding parts, claims, and reimbursements
  • Monitor and reconcile warranty receivables; partner with accounting to ensure prompt payment
  • Follow up on outstanding, rejected, or returned claims and resubmit as needed
  • Maintain organized records of all claims, statuses, and supporting documentation
  • Stay current on factory recalls, policy updates, and procedural changes
  • Manage inventory of parts designated for return, inspection, or disposal
  • Build and maintain strong relationships with manufacturer representatives and warranty partners
  • Provide weekly reporting to Service Management on claim status and performance
  • Ensure all customer and service records meet manufacturer and compliance standards
  • Escalate any concerns that may impact dealership operations, compliance, or customer experience

Qualifications

  • Previous warranty administration experience preferred
  • Strong attention to detail and organizational skills
  • Ability to work collaboratively in a team environment
  • Proficiency in Microsoft Office
  • General accounting knowledge preferred
  • Valid driver's license with a clean driving record
